Build A Timetable In This Order

Start From Home

Home separates the system into three simple entry paths: Admin, Incharge, and Faculty / Student.

Use Admin for full control, incharge approvals, card limits, and system level access.

Use Incharge when a timetable incharge wants to register, create timetable cards, and manage one timetable.

Use Faculty / Student when someone only has a shared 4 digit card ID and wants to view or download timetables.

HighlightBest habit: give only card IDs to viewers; keep admin and incharge access for timetable makers.

Create And Open Timetable Cards

A timetable card is one independent working timetable identified by a 4 digit code.

Open Incharge, then login or register if you are a new incharge.

After superadmin approval, create a card using the plus button.

Open the card before adding resources. The active card appears in the top bar.

Share the 4 digit card code with faculty or students for public timetable viewing.

HighlightSuperadmin can set a different maximum card limit for every incharge. Default limit is 2.

Admin Setup And Resources

Admin is where you build the academic data that the generator will use.

Set Days, Slots, and Saturday Slots first. These values control the timetable grid everywhere.

Add classrooms with capacity. A class should only use rooms with enough capacity.

Add laboratories with capacity. Practical batches should only use labs with enough capacity.

4

Add teachers with full name, short name, and maximum weekly load.

5

Add classes with class name, division, student count, and number of batches.

Add lecture and practical subjects with full name, short name, weekly hours, and teacher assignments.

HighlightKeep short names between 2 to 10 characters for compact editor and export display.

Subject Allocation

Subject load tells the generator how many theory and practical hours must be placed every week.

Select the class first.

Choose Lecture or Practical.

Select weekly hours from the dropdown.

For lectures, assign one teacher.

For practicals, assign batchwise teachers. Batch capacity is calculated from class strength and batch count.

Watch teacher max load warnings before saving heavy allocations.

HighlightFor practicals, weekly load is counted as lab hours per batch. A 2 hour practical normally occupies one pair slot.

Preferred Classrooms And Labs

Preferences help the generator keep rooms stable and realistic.

Use Preferred Classrooms near the classroom list to assign primary rooms classwise.

Use Preferred Labs near the laboratory list to assign labs subjectwise or batchwise.

Save happens as you click preference buttons.

During generation, preferred locations are tried first, then relaxed only when needed.

HighlightFor schools, one fixed classroom per class is usually best. For colleges, 2 primary classrooms per class is often practical.

Institute Data And Template

Institute Data controls the professional timetable header, theme, orientation, slot timing, breaks, and logos.

Open Institute Data from the admin analyzer row.

Add organization name, college name, accreditation, motto, other data, academic year, semester, department, class, and date.

Upload left and right logos. Supported formats are JPG, JPEG, and PNG.

Edit slot timings directly in the visual grid.

Add or delete breaks using the plus and cross controls inside the grid.

Choose Horizontal or Vertical view. The same orientation is used in web view and downloads.

Pick a theme. If none is selected, the system uses the professional default theme.

HighlightThe timetable views and Excel/PDF exports inherit institute data, theme, logos, breaks, and orientation.

Fill Demo Data

Fill Demo quickly creates sample school, junior college, UG, medical, pharmacy, and engineering datasets.

Click Fill Demo in Admin.

Choose the education profile you want to test.

The system clears current academic data and inserts demo resources, classes, teachers, subjects, and settings.

Use demo data to test generation modes before entering real client data.

HighlightUse demo only when you are ready to replace current test data.

Smart Constraint Analyzer

The analyzer checks whether your resources and academic load look feasible before generation.

Open the hidden analyzer panel when you want a detailed check.

Review feasibility score, teacher availability, room availability, lab capacity, and class load status.

Read warnings carefully. They explain what is wrong, why it happened, and how to fix it.

Use recommendations to add resources, reduce load, add slots, or adjust teachers.

HighlightAnalyzer warnings are early signals. Fixing them before generation saves time later.

Auto Generate Timetable

Auto Generate builds the timetable using constraints, preferences, and the selected generation mode.

Choose a generation mode: Intelligent, School Fast, Ultra Easy, Easy, Medium, or High.

Click Auto Generate.

The centered loading dialog shows current tier, pass, attempt, elapsed progress, and rotating timetable thoughts.

When generation finishes, review the summary for attempts, selected tier, penalties, location score, and warnings.

If generation fails, check analyzer warnings, teacher load, lab availability, and overly strict preferences.

HighlightStart with Intelligent or School Fast for quick feedback. Use higher modes only when quality matters more than speed.

Manual Timetable Editor

The editor lets you inspect and fine tune every class timetable cell.

Use Screen fit buttons to show 2, 3, or 4 cards based on monitor size.

Change slot and day counts from the toolbar; matching admin settings stay synchronized.

Double click a pair slot to toggle Lecture and Practical mode.

Select subject, teacher, and location from filtered dropdowns.

Use footer load chips to see allocated versus expected subject load.

Use the top completeness percentage to see how much required load is allocated.

HighlightDropdowns are filtered dynamically to avoid teacher and location conflicts wherever possible.

Fixed Slot Lock

Fixed Slot Lock protects a selected subject, teacher, and location during future auto generation.

Select subject, teacher, and location in a slot.

Hold Ctrl and click the subject dropdown to lock the slot.

Locked slots show a lock indicator and highlighted style.

Ctrl + click again to unlock.

Maximum fixed slots are limited to 50% of that class weekly slot capacity.

The locked classroom or lab is also preserved. If it clashes or is unavailable, generation must fail instead of moving it.

HighlightUse locks sparingly. Too many fixed slots can make generation harder.

Swap Resolver

Swap Resolver helps you exchange subjects or locations without losing timetable consistency.

For subject swap, Shift + click the source subject dropdown.

Green cells are safe suggestions. Shift + click one green target to exchange.

If a target causes conflict, orange trace highlights show where the conflict comes from.

Use Predict or Auto Resolve when you want the system to search deeper swap chains.

For practical subject swaps, source and target must stay in the same class, same batch, and different practical pair.

For location swaps, Shift + click a location dropdown. Same day and same slot locations across classes become green direct targets.

HighlightSubject swaps can be deep and constraint heavy. Location swaps are intentionally direct and lightweight.

Timetable Views

The Timetables menu gives separate public friendly views for classes, teachers, and rooms/labs.

Class Timetable shows one class or all class timetables.

Teacher Timetable shows teacherwise schedules with duties and abbreviations.

Classroom/Lab Timetable shows roomwise and labwise usage.

Views use short subject and teacher names in slots and map full names in metadata or abbreviations.

If a card code is used, viewers only see the timetable connected to that card.

HighlightUse the view pages for sharing and printing. Use Editor only for changes.

Teacher Load Adjustment

Teacher load adjustment handles current-week substitutions, leave, or extra duties.

Open Teacher Timetable.

Use the load adjustment section instead of changing permanent timetable data.

For a teaching slot, choose an available substitute teacher from the adjustment dropdown.

Teachers from the same class are highlighted first.

Add extra responsibilities like class teacher, academic coordinator, or exam coordinator with date ranges.

HighlightAdjustments are for temporary weekly management. Permanent changes should be made in Admin or Editor.

Excel And PDF Downloads

Downloads produce professional timetable outputs using the institute template.

Open class, teacher, or classroom/lab timetable view.

Use Download and choose Workbook for Excel.

Use PDF when you need print-ready pages.

Excel workbook exports can include separate sheets for multiple classes, teachers, rooms, or labs.

Exports inherit institute theme, orientation, slot timings, breaks, logos, abbreviations, and metadata.

HighlightBefore exporting final timetables, verify Institute Data once so headers and logos are correct.

Account And Roles

Role control keeps editing power separate from public viewing.

Superadmin approves incharges and controls card limits.

Incharge creates cards and manages timetable data.

Faculty and students do not need login; they use the shared card ID.

Use Account to manage your password.

Logout after admin or incharge work on shared machines.
